Why we use it
Purposes and lawful bases
Enquiries and quotations
We use the information to respond, assess photographs, prepare quotations and take steps you request before entering into a contract.
Providing services
Where work is agreed, information is used to arrange, deliver and administer the contract, including customer communication and records.
Legitimate business needs
We may use information for reasonable business administration, service improvement, fraud prevention and website security where our legitimate interests do not override your rights.
Legal obligations
Some records may be kept or disclosed where necessary to meet tax, accounting, insurance or other legal requirements.
Sharing and storage
Who may process your information
We do not sell personal information. It may be shared only where necessary with trusted suppliers that support our business, such as website hosting, email, communications and IT providers; professional advisers; subcontractors involved in agreed work where appropriate; or public authorities where disclosure is legally required.
Our website is hosted on a Hostinger Business plan. Uploaded quotation photographs are configured for enquiry handling and are not added to the public WordPress media library. Where a supplier processes information outside the UK, appropriate protection required by UK data protection law is used where applicable.
How long we keep information
We keep personal information only for as long as reasonably necessary for the enquiry, customer relationship, agreed work, legal and accounting duties, insurance requirements and the handling of possible disputes. The exact period depends on the nature of the record. Unsuccessful quotation information is deleted or anonymised when it is no longer needed for those purposes.
Your choices and rights
Control over your personal information
Depending on the circumstances, you may have rights to ask for access to your information, correction, deletion, restriction, portability, or to object to certain uses. Some rights are limited by the lawful basis and applicable exemptions.
Your right to object: you may object to processing based on our legitimate interests. We will stop unless we have compelling legitimate grounds to continue or the information is needed for legal claims.
We do not use the quotation form to make decisions based solely on automated processing that have legal or similarly significant effects.
To exercise a right or ask a privacy question, email info@rmsclean.co.uk. We may need enough information to verify your identity.
Complaints
How to raise a concern
Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner’s Office (ICO).
